Sometimes the math says renew

We earn nothing that day and we say it anyway. The calculation that points away from our own revenue is what makes the rest of this site worth reading.

Why the increase happened

Concessions apply to year one. Month thirteen resets toward market. If you signed with two months free, your effective rent in year one was well below the building’s asking rent, and the renewal offer is not an increase on what you paid — it is a return to what the unit actually rents for, plus whatever the market moved.

That is not a trick, but it is rarely explained at signing. It is why we ask what a unit renewed at last year before anyone signs year one.

The comparison, both sides

Spread the one-time costs across twelve months and compare against the monthly gap. If your increase is $45 a month and moving costs $1,400 all-in, moving loses on a one-year horizon and it is not close.

If your increase is $220 a month and a comparable building down the street is running six weeks free, moving wins and it is also not close.

Most cases sit in between, and that is where running the numbers actually decides something.

Negotiating instead

A renewal conversation goes better with evidence. If comparable units in your submarket are quoting lower effective rent this month, that is a fact worth presenting, especially with a clean payment record behind it.

What properties sometimes offer instead of a straight reduction:

  • A shorter or longer term at a different rate
  • A renewal concession, usually smaller than a new-lease concession
  • Holding the current rent flat
  • An internal transfer to a different unit, though the concession usually resets on transfer

Some operators will not move at all. Knowing which before you ask saves the conversation.

Read the notice clause first

Most Dallas leases, including the standard Texas Apartment Association form, require written notice to vacate a set number of days before term end. Sixty days is common.

Miss that deadline and you can roll into a month-to-month holdover rate that sits well above both the renewal and the market. The deadline usually arrives before the decision feels urgent, which is why we ask for it in the first message.

Work backwards from the notice date, not the lease end date. Three weeks before the notice deadline is a comfortable place to start comparing.

Lease expiration timing matters too. A lease ending in December or January lands in the slowest leasing season, when a building has the least competing traffic and the most reason to negotiate. One ending in June or July lands at peak demand, where the same building has far less reason to move off its asking rate.

If you are leaving before the term ends

That is a different question from renew-or-move, and two clauses decide the cost.

The clawback. If you took a concession, breaking early usually makes the free rent repayable. Terms live in a lease addendum. See concession clawback.

The reletting fee. A contractual charge for re-renting the unit, separate from late fees under Texas Property Code Section 92.019.

Together they can make an early exit cost more than a year of the increase you were trying to avoid.

Is it cheaper to move or renew in Dallas?

It depends on the size of your increase, what comparable buildings are quoting on effective rent, and what the move itself costs. The move side carries a security deposit, application fees at $50 to $75 per adult, movers, utility connection charges, and often a few days of overlap or downtime between leases. If your increase is smaller than those costs spread across the next twelve months, renewing usually wins. We run both sides and tell you which.

Why would a locator tell me to renew?

Because we earn nothing that day and the number says so. A recommendation that always points toward a move is a recommendation you cannot trust on the days it points elsewhere. We would rather be the people you call in eighteen months.

Can I negotiate a rent increase in Dallas?

Sometimes, and the conversation goes better with evidence. If comparable units in the same submarket are quoting lower effective rent this month, that is a fact worth putting in front of the property, particularly if you have a clean payment record. Some operators will hold the rent, shorten the term, or add a concession rather than turn the unit over, because a turn costs them make-ready and vacancy. Some will not move at all.

How much notice do I have to give in Texas?

It is the rate a property charges when a lease term ends without a renewal or a proper notice to vacate. It is normally well above the renewal rate and is designed to be. If you are undecided, the holdover is the most expensive way to stay undecided.

Does my concession affect whether I can leave?

It can. If you took free rent in year one, breaking the lease early usually makes the concession repayable under a clawback clause in a lease addendum, and a reletting fee may apply on top. Both are separate from the renewal question, but they matter if you are considering leaving before the term ends rather than at it.

Can I transfer to another unit in the same building or company?

Some management companies allow an internal transfer, occasionally with a transfer fee and a new lease term. It can be a way to change unit size or floorplan without a full move, but the concession usually resets on transfer, so ask what the transferred unit's effective rent is rather than what the transfer costs.

When should I start looking if I might move?

Work backwards from the notice deadline in your lease, not from the lease end date. Give yourself at least three weeks before the notice deadline to compare, tour, and apply. Send us the renewal offer as soon as you get it.
